Which tool to choose

It depends on the piece of work.

  • To generate the content of the calendar: ChatGPT, Gemini or Claude. Claude better maintains a consistent tone across many posts in a row.
  • To discover what to talk about right now: an AI with web access or Grok, which pulls trends and conversations in real time from X, useful for latching onto a hot topic before it cools.
  • To host the calendar: a Google Sheets sheet or a table in Notion or Trello are enough. You don't need dedicated software to get started.

How to do it

From browser or app the AI works the same way: only where you paste the final result changes.

  1. Decide the frequency you can actually sustain. Better three solid posts a week than seven abandoned mid-month. As a reference, on Instagram and Facebook three to five posts a week work for most businesses; on LinkedIn two to three are enough.
  2. Give the AI your raw material. Who you are, what you sell, two or three strengths, the tone you want. Without this you get generic posts good for anyone, that is, for no one.
  3. Ask for the calendar as a table. The operative syntax:
Act as a social media manager. Create a content calendar for Instagram for the next 4 weeks, 3 posts a week. Return it as a table with columns: date, format (post, reel or carousel), theme, ready-to-use caption text, 5 relevant hashtags, call to action. When it does NOT work (and how to fix it)

If the posts all come out the same and generic

It's the symptom of poor raw material. Go back into the prompt and add real, specific details: a real customer, an anecdote, a product with a name. The more concrete the input, the less the AI falls back on phrases good for everyone.

If you don't even know where to start with the themes

Before the calendar, ask the AI for a brainstorm: "give me 20 content ideas for [business], divided into those that teach, entertain and sell". Choose the ten best and only then ask it to build the calendar on top.

If you've made yourself a too-ambitious calendar

If after two weeks you drop it, it's not your fault: it was oversized. Ask the AI to halve the posts and concentrate the effort on a single format you do well. A sustainable calendar is worth more than a perfect one on paper.
