Which tool to choose
Three routes, for different needs. Choose based on what you really need.
- Official data export: you use it when you want the complete archive of everything, once in a while, as a backup. It's the most reliable because it comes from the provider itself.
- Manual copy and paste: you use it for the single chat you care about right now. Immediate, depends on no one, and the text ends up where you decide.
- Browser extension to export: you use it if you save conversations constantly and want a tidy file (PDF, Markdown) with one click. Convenient but it's third-party software: it gives access to your chats, so choose it among the best known and with good reviews.
How to do it
The official export, step by step. From a browser or an app the path doesn't change in substance:
- Open the settings (usually under your initials or the profile icon, bottom left or top right).
- Look for the privacy section or data control.
- Press the data export button and confirm. On Claude the item is "Export data"; on ChatGPT it's in the data control.
- Wait for the email with the link. It can arrive in a few minutes or a few hours. Download the ZIP within the deadline indicated in the message (usually a few hours or a few days).
- Open the file. In ChatGPT you find a
chat.htmlto open in the browser, readable like a page; in Claude you find a JSON file, rawer but complete.
Check: if on opening the archive you find your conversations readable, the save succeeded. Keep it in a folder you won't empty by mistake.
For the precious single chat, the quickest method is to ask the AI to prepare the text for you to take away.
Summarize this entire conversation in a single text that I can save: include the decisions made, the instructions I gave you and the final results, so that by rereading it I can resume the work from where we are.
You copy that summary into a Google Doc or a notes file. That document is yours forever.
A concrete example
Luca runs a small e-commerce and uses the AI to write the product descriptions. He has dozens of scattered chats, each with the tone of voice refined for a category. Before a subscription change he requests the data export: in twenty minutes he receives the ZIP, opens it, and has all the descriptions in a single browsable file. Then, for the chat where he defined the brand's style (the one he cares about most), he asks the AI for an operational summary and pastes it into a document titled "Brand Voice". Now, if he changes tools or loses a chat, he starts again from that document in five minutes.
When it does NOT work (and how to fix it)
If the export doesn't arrive
The email link sometimes is late or ends up in spam. Check the junk mail. If after a day you see nothing, relaunch the request: a second export creates no conflicts.
If the exported file is unreadable
The JSON format of some tools isn't meant to be read by eye. Open the file and paste part of it into the AI itself asking: "Turn this into a readable text for me, conversation by conversation". For ChatGPT, instead, open the chat.html directly: it's already a navigable page.
If you want an automatic, recurring backup
No tool exports on its own at regular intervals: you launch the export by hand. The fix is a habit, not a feature: set a monthly reminder to request the archive, and for the critical chats save the summary in the document as soon as you finish working on it.
A tip from someone who actually uses it
Don't wait until you're afraid of losing a chat to save it. The right moment to export is when a conversation has just produced something of value: the prompt that works, the analysis that cost you hours, the style you fine-tuned. Keep them in a single context document of your own, organized by topic. It's the only copy that stays yours even if you change tools, lose access or delete everything by mistake.
Frequently asked questions
Does the export also include the chats I deleted?
It may include the recently deleted ones, until the provider's internal retention window expires. Chats deleted long ago are gone. That's why it's worth exporting regularly, not just when you've already lost something.
If I export my chats, can someone see them?
You receive and keep the file: its security depends on where you put it. An export saved in a shared folder or on a PC without a password is exposed. Treat it as a confidential document: it contains everything you wrote to the AI, including the private things.
