You don't need a subscription. For two paragraphs of text, the free tool is more than enough.

  • Use free ChatGPT if you want the fastest and most tried-and-tested solution. Registration is free and the free plan's limits are wide: a letter you write and refine without getting near the cap.
  • Choose Google's Gemini if you already work inside Gmail and want the accompanying email to be born directly in your inbox, without copying and pasting.
  • Stay on Microsoft Copilot if you write in Word and want the letter already laid out in a document to print and sign.

In most cases the first option is the right choice: zero installations, it works from browser and from phone in the same way.

How to do it

The point to grasp first of all: resignation and thank-you letters are two different things. Resignation has legal value only through the online procedure; since 2016, in Italy, to resign a handwritten letter is no longer sufficient: it's mandatory to follow the online voluntary resignation procedure. The letter you write with the AI is the courtesy communication to the boss or to Human Resources. The thank-you letter, on the other hand, is professional etiquette and has no constraints.

From browser or app, the path doesn't change:

  1. Open the tool you chose and start a new chat.
  2. Paste the prompt below, replacing the words in quotes with your real data.
  3. Read the draft. If the tone doesn't convince you, write in the same chat "make it warmer" or "halve it".
  4. Copy the text, paste it into the email or a document, reread and sign.

Check: if the letter names your company, the date and a reason consistent with what you wrote, it's ready. If it contains generic phrases like "at your esteemed company" without the real name, you forgot to fill in a piece of data: fix it.

Avoid rhetorical formulas and superlatives.

After sending the letter, remember the step that makes it truly valid: to submit your resignation online, log in to the Ministry of Labour portal (Servizi Lavoro), authenticating via SPID, CIE or CNS.

A concrete example

Marco works as a warehouse worker, has found another job and wants to leave without burning bridges. He opens free ChatGPT on his phone during the break, pastes the resignation prompt putting his name, "Logistica Verdi Spa" and as his last day October 15. In eight seconds he gets a nine-line letter: it communicates the decision, thanks for the three years, offers to train whoever takes his place.

Marco finds it a bit cold, writes "add a sentence about the good atmosphere in the department". The AI rewrites it. When it does NOT work (and how to fix it)

If you think the letter is enough to resign

It isn't. The letter is courtesy, not a legal act. You cannot send your resignation via certified email (PEC) or registered letter: except for cases like domestic work, the only valid method is the online one through the Ministry of Labour portal. After sending the letter, always complete the online procedure with SPID or CIE.

If you get the effective date wrong

It's the mistake that costs money. The effective date is not the last working day, but the following day: if the last day is July 30, the date to enter is July 31, and an error can entail additional working days or a deduction from your paycheck. Have the notice-period calculation checked against your collective agreement or by a patronato office before sending. If you notice the error after sending, you have seven days to revoke the wrong communication and redo it with the correct date.

If the letter sounds fake or "robotic"

It happens when you leave the text identical to the first draft. Fix: in the same chat write "rewrite it the way I would speak, drop the stock phrases" and add a real detail (a project, a colleague, an episode). One personal line turns an anonymous text into a credible letter.

If you've changed your mind after the online submission

You have a safety window. You can revoke the resignation within 7 days of the online communication, by the same means as the original communication, through the Ministry of Labour portal. After the 7 days, unilateral revocation is no longer possible: at that point you can only return if the employer agrees to rehire you or to cancel the resignation by agreement. It's not a right of yours, it's a negotiation, so move within the seven-day window.

Legally no, but it's the smart move. Can I use free ChatGPT or do I need the paid version?

Isn't writing the letter with AI a bit insincere?

It's a common and unfounded objection. The AI gives you the structure and the tone, not the feelings: you put those in by choosing what to thank for and which episode to cite.
